The Textile Society of America, Inc (TSA) provides an international forum for the exchange and dissemination of information about textiles worldwide, from artistic, cultural, economic, historic, political, social, and material perspectives. Established in 1987, TSA is governed by an international Board of Directors.Our members worldwide include textile enthusiasts, educators, scholars, artists, curators, conservators, students, historians, scientists, and collectors. TSA offers a range of programs including international symposia, lectures, artist talks, workshops, exhibitions, affinity groups, awards, and scholarships. Position overview
The administrative coordinator is responsible for the administrative oversight of TSA’s day-to-day operations, which fall into three main areas: membership; communications; and support for programming and public-facing activities.
This is a one-year, part-time contract position with the possibility of renewal
Hourly rate: $30/hour for a maximum of 75 hours/month
This position includes membership in the TSA and a monthly stipend of up to $100 to cover the costs of high speed internet
Location: this is a remote position
Start date: March 2023
This position reports to the TSA president while TSA conducts a search for an Executive Director in the second half of 2023
Duties and responsibilities
1. Membership
The administrative coordinator supports TSA member needs and member services. They are the main point of contact for membership queries and general communication from TSA members.
- Provides assistance to and respond to member requests and to queries from current and potential members via email, phone, and the TSA Facebook group
- Manages the TSA membership database
- Manages the TSA member-only Facebook group
- Provides support for the recruitment and retention of TSA members
- Provides support for periodic surveys of TSA members and prospective members and help aggregate member data and feedback
- Liaises with the financial advisor and treasurer about membership payments
- Liaises with the Membership, Outreach, and Programming Committee about the membership big picture
- Provides logistical and technical support for TSA symposia planning on aspects including promotion, member liaison, support for the submissions process, and liaising with the symposium planning committee
2. Communications
- Daily review of general TSA email accounts
- Works with a contract web developer, monitors, updates and maintains TSA’s website (keeping front page slider up to date, adding announcements and content and keeping software, plugins, and security features updated)
- Supports the timely dissemination of all internal and external TSA communications published on the TSA website, social media, and print; these include the TSA newsletter, social media posts, TSA e-news, event and program promotion
- Liaises with the TSA Communications Director and the TSA News Digital Content Editor
3. Programming
- Provides organizational and administrative support for in-person and remote programs and events (including the Contemporary Voices series, Textiles Close Up, artist talks, lectures, panel discussions, etc.)
- Creates event pages for Contemporary Voices and other TSA programs; promotes programs on TSA social media
- Creates and schedules Zoom webinars and events; runs and provides technical assistance during virtual events; liaises with ancillary services (ASL providers and captioners) as needed
- Sets up and publishes program / event registrations
- Supports and monitors program registration; communicates with registrants as needed; maintains, records, and shares program registrations for remote and in-person programs
- Support for the TSA symposia as detailed above in point 1
Other
- Provides support for awards and scholarships by posting and promoting calls for nominations and awards on channels including the TSA website, TSA News, eNews, Facebook members page
- Provides support for the annual Board elections including setting up, testing and publishing elections ballots; downloading and sharing data
- Provides administrative support for the year-end giving campaign and other fundraising initiatives
- Helps maintain TSA’s administrative calendar of administrative meetings
The administrative coordinator meets weekly with the TSA president and participates in bi-monthly meetings of the TSA Board of Directors. They also meet with the financial advisor and standing TSA committees (Communications, Membership, Outreach, and Programming Committee) as needed.
They should normally be available for meetings during regular work hours, with occasional early evening meetings.
Qualifications and skills profile:
- 3-5 years or more in administration in an arts, academic, or non-profit setting
- Strong interpersonal skills including a sensitivity to TSA members’ needs and varying technical skill levels
- Proficiency with technologies including MS Word, Excel, Membership Works or other database or CRM management, email, payment processing systems, Mailchimp, WordPress, Survey Monkey, Airtable, Zoom, and Adobe Creative Suite
- Highly organized and detail oriented
- Reliable and able to meet deadlines
- Strong writing and communication skills in English
- Ability to work collaboratively as part of a small team
- Problem-solving skills
- Communications or programming experience is preferred
- Administrative or other experience with a membership organization is an asset
- Current or past membership in TSA is an asset
